Case study

Automated medical CRM: WhatsApp scheduling, patient history and more efficient management

This project was developed for a private medical practice that managed appointments, patients and follow-up manually, combining calls, Excel sheets, a basic calendar and disconnected tools. The objective was to centralize the entire process in an automated CRM connected with WhatsApp and a medical schedule.

The challenge

The practice managed a large part of the process manually. Appointments were coordinated by phone, availability was checked in a simple calendar and patient information was spread across Excel sheets and independent tools. This consumed time, made follow-up harder and complicated the ability to maintain a complete view of each patient.

  • Schedule managed manually through calls and availability checks.
  • Patient information spread across Excel, calendar and disconnected tools.
  • Frequently asked questions answered manually again and again.
  • Difficulty quickly consulting history, cases and follow-up for each patient.
  • Lack of a single environment to control appointments, medical data and patient evolution.

The proposed solution

A complete integration was developed inside an automated medical CRM connected with WhatsApp and scheduling. The system allows patients to check availability, select a day and time, and be booked automatically, while the doctor receives the calendar update notification and keeps the full patient history in one environment.

  • Centralized CRM to manage patients, cases, history and follow-up.
  • Initial WhatsApp assistance with automatic replies to frequently asked questions.
  • Schedule availability check from the conversational flow.
  • Day and time selection by the patient.
  • Automatic booking in the medical calendar.
  • Doctor notification every time an appointment is created or modified.
  • Medical data and follow-up unified in a single system.

How the project was approached

Manual process analysis

We reviewed how requests arrived, how calls were managed, how availability was checked and where patient information was stored.

Scheduling flow design

We defined a process so the patient could check availability, choose a date and confirm the appointment without depending on a manual call.

WhatsApp integration

An initial assistance flow was configured to answer frequent questions, guide the patient and facilitate the booking process.

Centralized medical CRM

An environment was structured where the doctor can consult patient data, history, cases, evolution and follow-up from one platform.

Calendar automation

Confirmed appointments are automatically registered in the schedule and the doctor receives a notification to keep day-to-day control.

Project impact

Fewer manual calls

The system reduces the time spent coordinating appointments and answering repetitive questions.

More organized schedule

Patients can choose availability and appointments are automatically registered in the calendar.

Greater clinical control

The doctor can consult history, cases and follow-up for each patient from a single environment.

Better patient experience

The contact, information and booking process becomes faster, clearer and more comfortable.
