AI process automation for businesses

Fewer repetitive tasks. More time and control for your business.

I analyse how you currently carry out a task, organise the process and develop a solution that connects your website, WhatsApp, email, calendar, CRM or other tools when doing so genuinely improves the workflow.

The problem first, the technology second

Not everything needs artificial intelligence. First we need to identify which task is slowing the business down.

Automation makes sense when it removes repeated work, reduces unnecessary steps or keeps a process organised without relying on someone constantly remembering every action.

You copy the same information several times

Data arrives through a form, WhatsApp or email and then has to be copied again into spreadsheets, calendars or different applications.

Replies and follow-ups depend on someone remembering

An enquiry takes too long to answer, an appointment is not confirmed or a quotation is forgotten because there is no workflow to trigger and organise the next step.

Everything ends up going through the same person

The business slows down when one person has to review, classify, confirm and supervise tasks that are repeated in much the same way.

The right automation does not start by asking which AI to use. It starts by understanding how the task is performed today and what result the business actually needs.

Which processes can be automated

Practical solutions for specific tasks, not technology for the sake of it

Every project is adapted to the real process. These are some automations that can be implemented independently or connected within a broader workflow.

Confirmations, appointments and reminders

Email or WhatsApp messages, calendar event creation and alerts before an appointment or important task.

Quotations and sales follow-up

Data collection, initial estimates, task creation and reminders so an opportunity is not forgotten.

Data connected to CRM systems and spreadsheets

Automatic records in Google Sheets or a CRM, status updates and synchronisation between the website and internal tools.

Email, documents and invoicing

Email classification, information extraction, document preparation and automated steps with human review when necessary.

AI-assisted customer service and communication

Website chatbots, WhatsApp, Instagram messages, summaries, voice assistants and automatic responses adapted to the scope of the project.

Study, method and movement

A custom automation is built by understanding, organising and testing

I do not try to connect tools before understanding the process. First we study the task, then define a clear method and finally create a first version that can be tested.

1

Study

I look at how the task is currently carried out, what information comes in, who is involved, how often it is repeated and where errors or delays appear.

3

Movement

I build a first version, test it with real cases, correct the workflow, explain how it works and deploy it once it meets the agreed objective.

The assessment may also conclude that the task is not worth automating or that the problem needs a different solution. If so, I explain this clearly before quoting development work.

Automation pricing

Start with a small process and expand only when it adds value

The price depends on workflow complexity, the tools being connected, the number of conditions and whether it requires artificial intelligence, WhatsApp, voice or special data handling.

What is quoted separately

  • Several connected tools, departments or workflows.
  • Official WhatsApp integrations, voice agents, chatbots or AI models with usage costs.
  • Document or data processing that requires special controls.
  • Ongoing monitoring, maintenance and small later changes.
  • New steps or changes to logic that has already been approved.
  • Development of a complete custom CRM or bespoke software system.

External accounts and costs belong to the client. Licences, n8n Cloud, APIs, servers, WhatsApp numbers and model usage are explained before the project is agreed and are paid separately.

Integrations

We connect the tools your business already uses when a compatible connection is available

Feasibility depends on the available permissions, APIs and connectors. Whenever possible, the accounts remain in the client's name so the business keeps control of its data and services.

Websites, forms and commerce

WordPress, custom forms, WooCommerce, Stripe, databases and web developments where code access is available.

Artificial intelligence

OpenAI, Claude, Gemini and local models, selected according to the process, privacy requirements, cost and the quality needed.

Experience with integrations and custom systems

Projects where technology already reduces manual work and disconnected data

These examples do not guarantee the same result for another business. They demonstrate real experience developing connections, workflows and systems adapted to specific processes.

Properties synchronised from a real estate CRM

At Inves Emirates, the property portfolio is connected to Inmovilla to update listings on the website and reduce the need to publish them manually across different systems.

Before and after the process

The difference is not having more tools. It is making sure information moves forward without repeating work.

From analysis to launch

How we turn a repetitive task into a workflow that can be measured and improved

1. Understand the task

We review inputs, steps, people, tools, repetitions and exceptions.

2. Design the rules

We define what should happen, in what order, which data each step needs and when a person should intervene.

4. Deploy and explain

The solution is activated, its operation is explained and a record or short video is provided when the project requires it.

5. Measure whether it solves the problem

We check whether it reduces time, errors, waiting, pending tasks or manual steps according to the agreed objective.

Frequently asked questions

What you should know before automating a process

Which business processes can be automated?

Repetitive tasks with clear rules can often be automated, such as collecting and classifying leads, recording data, sending confirmations, organising appointments, preparing alerts, creating tasks, following up opportunities or connecting a website with email, a calendar, a spreadsheet or a CRM. Before proposing a solution, I review how the process is currently carried out and which decisions should continue to depend on a person.

How much does it cost to automate a process?

A simple automation can start from €299. This starting point is designed for a basic, well-defined workflow, for example receiving form data, recording it and sending a confirmation or alert. The final price depends on the number of tools, steps, conditions, use of artificial intelligence, data processing requirements and the level of monitoring the system needs.

What is included in an automation from €299?

It includes analysis of a simple task, workflow design, configuration of the required connections, implementation, testing and an explanation of how to use it. It also includes an initial stabilisation period to correct errors related to the approved workflow. Licences, hosting, APIs, WhatsApp, artificial intelligence usage and other external services are paid separately by the client.

Will automation replace my employees?

The usual objective is not to replace people, but to reduce the time spent copying data, answering the same questions, manually checking tasks or remembering follow-ups. Important decisions, exceptions and sensitive situations can remain under human supervision.

Do I have to change the tools I already use?

Not necessarily. I first check whether your website, email, calendar, CRM or current applications can connect through an API, connector or compatible integration. When it is technically viable, the automation is built around the tools the business already uses.

Can I start with a small automation?

Yes. In fact, it is usually the safest way to start. We choose one specific task, create a first version, test it with real cases and expand it only when the workflow works properly and provides a clear improvement.

How long does it take to build an automation?

A simple solution may take approximately one or two weeks once the process is clearly defined and all required access is available. Projects involving WhatsApp, voice agents, several tools, sensitive data or complex decisions may take longer. The timeframe is confirmed after reviewing the case.

Will I have to pay for tools every month?

It depends on the solution. Some platforms, APIs, servers, WhatsApp numbers or artificial intelligence models have subscriptions or variable usage costs. These costs belong to the client accounts and are explained before the system is implemented.

What happens if an automation fails?

Any system can fail because of changes in an application, permissions, usage limits or external incidents. That is why different scenarios are tested and, when the process requires it, alerts, logs or human review steps are added. Ongoing maintenance and monitoring are quoted according to the number and importance of the workflows.

Is a later modification included?

Corrections needed to make the approved workflow operate as defined are handled during the initial stabilisation period. If new tools, steps, conditions or changes to the process logic are added afterwards, they are treated as an extension of the project.

Is a custom CRM included from €299?

No. An automation can record information in an existing CRM or connect it with other tools. Designing and developing a custom CRM is a bespoke software project and is quoted separately.

What is included in the initial assessment?

We have a 15 to 30 minute meeting by video call or, when proximity makes it practical, at your business premises. You explain how the task is currently carried out, we review the tools involved and assess whether automating it makes sense. This first conversation does not include a complete technical document for free. If there is genuine interest, the project scope and quotation are prepared.

Initial assessment

Tell me which task keeps repeating and we will review whether it is worth automating

You do not need to understand n8n, APIs or artificial intelligence. I need to understand what you do, which tools you use and which part of the process is taking up your time.
